Our service – In arranging insurance for our customers we act as an Independent Intermediary. Our service includes advising you on your insurance needs, arranging your insurance cover with insurers to meet your requirements and helping you with ongoing changes you make. We can also offer assistance when you need to make a claim. We offer products from a wide range of insurance companies.


We do not usually charge a fee for arranging your insurance, however, you will receive a quotation which will tell you about any fees which may apply to a particular insurance policy.


Confidentiality and data protection – All personal and sensitive information about our customers is treated as Private and Confidential. We will only use and disclose the information we have about customers in the normal course of arranging and administering their insurances and will not disclose any information to any other parties without their written consent. Unless we are notified of any changes we shall assume the personal and sensitive data we hold about our customers is correct and shall use it to provide quotations when policies fall due for renewal.


In the interests of security and to improve our service telephone calls you make to us may be monitored and/or recorded. We may pass information about you to credit reference agencies for the purposes of arranging payments by instalments and may also pass to them details of your payment record with us.


Motor and home insurance anti-fraud registers – Insurers share information with each other via the Claims and Underwriting Exchange Register and the Motor Insurance Anti-Fraud and Theft Register to aid the prevention of fraudulent claims. In the event of a claim the information you supply to your insurers together with any other information relating to the claim will be put on the Registers.



Motor Insurer Information Centre (MIIC) – Insurers are legally required to provide details of motor insurance policies to the MIIC. The information describing your insurance cover will be added to the Motor Insurance Database (MID) to which the police and other government agencies have access. This helps the pursuance of claims following accidents and aids detection of those who are in contravention of the law by not taking out insurance.


Use for marketing purposes – We may use information held about you to provide you with information about other products and services which we offer and we feel may be appropriate to you y email, telephone, post or other means. You may exercise your right to give notice to stop data being processed for marketing purposes by contacting us at our usual address or by telephone.


Claims – We have no authority to handle claims on behalf of insurers. In the event of an incident occurring which may give rise to a claim under your policy you should notify the insurer direct as soon as possible using the contact details in your policy document. If you suffer uninsured losses as a result of a motor incident ie policy excess, personal injury, loss of earnings etc you must also contact your legal expenses insurer. If you are unsure who to contact do not hesitate to call us.


Complaints – It is our intention to provide you with a high level of customer service at all times. If there are occasions when we do not meet these standards please contact the member of staff you were dealing with either verbally or in writing. They will take details of your concerns and we will then acknowledge in writing advising you of who is dealing with the matter. If you cannot settle your complaint with us you may be entitled to refer it to the Financial Ombudsman Service.


Renewal premiums paid by direct debit – In good time before the renewal of your policy we shall contact you with the renewal premium and terms for the coming year. If it is your intention to renew the policy no action is required by you and the policy will renew automatically. If you do not wish to renew the policy please let us know as soon as possible prior to the renewal date when you will be advised to cancel your direct debit instruction and the policy will lapse.


Fees/Charges payable – In addition to the premium charged by the insurer the following charges will apply for specified activities to cover the administration costs incurred by us.


Renewal fee £10.00 – Mid- term adjustments £10-£25.00 – Late payment charge £20.00

Duplicate documents & bounced cheques £15.00 – Cancellations £25.00 minimum


In addition to the above some policy amendments and cancellations will result in a return of premium. The amount of commission clawed back by the insurer will therefore be deducted from the final amount due to you. For the convenience of some of our customers we can offer a short term instalment plan and where this is available an additional charge will be levied as follows:-


Deposit + 1 instalment a month apart incurs a £10.00 instalment charge


In accordance with FSA Regulations we have to inform you that in managing and/or arranging your insurance requirements we may transfer money that you have paid us in payment of an insurance premium to another insurance intermediary. By accepting these Terms of Business you are giving your consent for us to act in the manner described in this section.


Governing Law – This agreement shall be governed by the laws of England and Wales and the parties agree herewith that any dispute arising out of it shall be subject to the exclusive jurisdiction of the English Courts.


Other Taxes or costs – Other taxes or cost, or both may exist in relation to the products and services offered by us which are not paid through nor imposed by us. We are covered by the Financial Services Compensation Scheme FSCS. You may be entitled to compensation from the scheme if we cannot meet our obligations. This depends on the type of business and the circumstances of the claim. Insurance advising and arranging is covered for 100% of the first £2000 and 90% of the remainder of the claim without any upper limit. To make sure you get the best offers from insurers, now or at any renewal and to protect you from fraud and to verify your identity, insurers may use publicly available data which they obtain from a variety of sources, including a credit reference agency and other external organisations.


Their search will appear on your credit report whether or not your applications proceed.

If you agree to the above stated use of your information you do not need to do anything. At your next renewal a credit check will be done as part of the quotation process. If you do not agree to the above stated use of your information, please contact us in the next 14 days either by telephone, letter, email to info@chalkwellinsurance.co.uk or drop in to see us and let us know you do not wish for a credit check to be conducted.


If you decide to pay your insurance premium by direct debit we have an arrangement with Premium Credit Limited. Your application for credit will be passed to Premium Credit Ltd and in assessing your application they will search the public information that a credit reference agency holds about you. The credit reference agency will add details of the search and your application to their record about you whether or not your application proceeds. This and other information about you may be used to make credit decisions about you and undertake checks for prevention and detection of money laundering.
